Common questions

Bookings & Occupancy

How are nightly rates determined?

We price every home individually. Rates start with comparable properties and dynamic pricing software that tracks seasonal trends. On top of that, we layer manual strategies for big dates like football weekends and graduation, plus mid-term stay strategies to drive winter revenue.

Can I set minimum stay requirements?

Yes. Minimum stays are a partnership decision. We’ll walk you through the revenue impact of any minimum you’re considering and set it together.

How far in advance can guests book?

Our standard booking window is 12 months out. For some homes, we extend it to 18 months at the owner’s request.

How do you handle mid-term rentals (30 to 90 days)?

Mid-term stays are mainly a winter strategy to offset the seasonal lull, and they include a negotiated discount built into pricing. In summer, demand is strong enough that guests often pay close to full short-term rates, so there’s no special mid-term pricing.

Can I block dates for my own use?

Yes. Most of our owners use their homes personally, and there’s no hard limit on owner-use dates. Each agreement does include a minimum commission. If owner use causes that minimum to be missed, we’ll talk through options with you, such as a home watch package, since your home carries year-round care costs no matter how often it rents.

What happens if a guest requests an extension?

We handle extensions of a couple of days directly and update the reservation. Longer extensions start to look like a mid-term stay, so we clear those with you first.

How are cancellations handled?

Airbnb and Booking.com enforce their own cancellation policies, which we can’t override. For direct bookings, Vrbo, and other platforms, we set the policy ourselves and apply the strictest version consistently.

Do you allow pets?

That’s up to you. A handful of our homes allow pets, and a pet fee applies when they do.

Could my home get double-booked?

We use calendar sync software across every platform, and we’ve never had a double booking or sync error.

Fees & Owner Revenue

What does the management fee include?

Our management fee for short-term and mid-term stays starts at 20% of rents. It includes bi-weekly walkthroughs (supply checks, furnace filter changes, and batteries), trash removal, and security camera monitoring.

Are fees different for short-term and mid-term stays?

No. Short-term and mid-term stays both start at 20% of rents.

What additional costs might I see?

Beyond the management fee, you may see:

  • Billable labor for unplanned repairs
  • Consumable supplies like paper towels and toiletries
  • Battery replacements, including lock batteries
  • A vacancy touch-up clean (about $50 to $55) when a home sits empty for more than three weeks
  • Optional add-ons, like gift baskets for big weekends, chosen at onboarding
  • Vendor costs, such as snow removal or lawn care, when we coordinate vendors for you, including seasonal tasks like sprinkler startup, shutoff, and winterization checks
How are cleaning fees handled?

Guests pay the cleaning fee directly at a rate set for each home. We collect the fee and pay the cleaning team, with a small buffer for extra cleaning a guest may require. For your own personal stays, you’re charged the same cleaning fee on your monthly statement, and no management commission applies.

When and how are owner payments made?

Payouts go out on the 10th of the month following each stay, based on the departure date. For example, a stay that checks in on the 28th and departs on the 3rd pays out the following month. Stays longer than a month are prorated monthly, so you don’t wait for the booking to finish. Every payout includes a full statement showing revenue per booking, total commission, and property expenses.

How can I verify income and expenses?

Your monthly statement breaks down every booking and expense, and all of your records are available anytime in Clearing, our owner financial portal.

Owner Portal

How do I access my financial statements?

Statements live in Clearing, our financial software. Clearing shows your monthly statements, projected future revenue, and other resources. You can sign in from this page.

Where can I see bookings and occupancy?

Monthly financial reports are in Clearing. For a clearer view of booked dates and projected owner revenue, we also provide a booking and occupancy portal, which you can open from this page.

How do I update my contact or banking information?

You can update your banking details yourself in Clearing. For contact changes, just email or text our team and we’ll update your record.

Do you provide a year-end statement?

Yes. You can create a cash flow statement in Clearing for any date range, showing every transaction plus a P&L for your property. We also issue a formal year-end statement by the end of January.

Property Maintenance

How are maintenance issues handled?

A team member checks every issue in person first to rule out a simple fix before calling a vendor. From there, we sort issues into three tiers:

  • Guest-affecting issues are solved immediately, and we text you an update.
  • Real but non-urgent issues are flagged to you with costs and options before we act.
  • Cosmetic items are logged in the portal as suggested tasks for you to review and approve each month.
When is owner approval required?

For non-urgent issues, we always get your input first. In a true emergency with a guest on site or arriving soon, we act right away to protect the booking, and we text or call you at the same time.

Is there a spending limit for emergency repairs?

Yes. Our agreement sets a $1,000 limit. Above that amount, we get your approval before moving forward, even when the issue is urgent.

How are vendors selected?

Vendors come from our preferred list. Each one onboards directly with us and carries insurance. We only go to the open market when a preferred vendor isn’t available.

Can I use my own contractors?

Yes. If you do, we ask that you manage that contractor relationship and communication directly. That keeps responsibilities clear and avoids crossed wires.

Guest Services

Who communicates with guests?

Our team handles all guest communication, so you never have to. If a friend or family member wants to book, just send them our way and we’ll take care of it.

How are guest complaints resolved?

A full-time guest communications specialist covers weekday business hours, with on-call coverage on evenings and weekends. Our task runner team is available seven days a week to go on site, confirm the issue, and fix it. Guest communications and operations work from shared threads, so everyone stays aligned.

What happens if a guest damages the property?

Our cleaners or team report any damage. For Airbnb bookings, we use Airbnb’s resolution process. For direct bookings and other platforms, we file a claim on the per-booking insurance policy. For small damage (around $50 or a small share of the booking), we handle it directly rather than filing a claim, to avoid guest friction. For larger damage, we front the cost while the claim processes. Claims and policies cover nearly every case.

How do security deposits work?

Security deposits are a temporary hold on the guest’s card, not an actual charge, and they vary by platform. The hold is released five days after checkout, giving us time to inspect, clean, and check for damage.

How are guests screened?

We rely on platform requirements: guests must be 21 or older, have an established account, and have no negative review history. We keep instant booking on, because platforms favor and promote instant-book listings, which helps your home rank and book.

Housekeeping

What does a standard cleaning include?

A full clean of the home, laundering all bedding and towels, and restocking consumables like coffee pods, toilet paper, and soap. During slower periods, our cleaners use extra time on deeper areas, like under couches.

How are linens and supplies managed?

We handle it end to end. Inventory is tracked in our operations software, supplies are ordered centrally, and cleaners log what goes to each home.

How often are deep cleanings done?

Deep cleanings aren’t on a fixed schedule. We coordinate them about every six months, or sooner if a home needs it.

How are quality inspections done?

Two ways. Bi-weekly walkthroughs check functional items like faucets, toilets, leaks, pests, and the interior and exterior, and we can tailor them to your requests. Every six months, we also do a dedicated cosmetic audit focused on improvements to your home.

Communication

Who is my primary contact?

You’ll have a dedicated client relations manager whose main job is your relationship. Behind them, a guest communications team handles guests and an operations team takes care of the home. Instead of one manager juggling everything for a portfolio, each team focuses on what it does best.

How quickly will you respond?

Texting is the fastest way to reach us. Every owner has a dedicated text thread, and we typically respond within about an hour during business hours. Emails are answered within a couple of days, usually sooner.

How will I hear about urgent or significant issues?

We text first. If we need a response and don’t hear back, we’ll call.

Financial & Tax

When will I receive year-end statements?

By the end of January. You can also view month-over-month performance anytime in Clearing.

What tax documents do you provide?

A 1099 reflecting the amounts paid to you.

How are occupancy taxes handled?

We collect and remit all sales tax and innkeeper’s tax by region every month, so you don’t have to.

What is deducted before owner payouts?

Platform fees and our commission come out of each booking payout, along with property expenses like vendor payments, purchases, supplies, and billable labor. Everything is itemized on your statement.

Marketing

Which booking platforms do you use?

Airbnb, Vrbo, Booking.com, Google Vacation Rentals, Wander, and our direct booking site, StayIrish.com. Expedia bookings come through our Vrbo partnership.

How often are listings updated?

Pricing is updated essentially every day, and we review the overall strategy weekly. Photos and descriptions stay the same unless something meaningfully changes the guest experience, or you ask us to update them.

Can I approve photos and listing descriptions?

Yes, always.

Policies

How are owner requests prioritized?

By urgency and impact. Anything that affects the guest experience or listing performance comes first. Cosmetic requests, like repainting trim, come after.

What if I decide to end the management agreement?

We ask for advance notice so we can plan the transition, which takes at least a couple of weeks. For bookings already on the calendar, we work out responsibility together, usually transferring them to you, with a solution that’s fair to the guest, to you, and to us.

Technology

How do smart locks and access codes work?

With our preferred locks (Yale or August), codes are generated automatically by our software, with a unique code for every booking. For other lock brands, we set a code manually and change it periodically.

What happens if the internet goes down?

Codes are programmed directly into the lock, so any code set before an outage keeps working. Every home also has a backup lockbox.

How are security cameras and noise monitors managed?

A team member reviews all motion notifications twice a day, morning and evening, and makes sure every home is armed by the end of the day.

Onboarding

How does onboarding work, and how fast can my home go live?

A dedicated onboarding specialist leads you from start to finish, including your listing and home prep. If your home is photo-ready, plan on two to three weeks. If it needs prep work first, plan on four to five weeks or more. Once you’re live, you’re handed off to your client relations manager.

Do I get a dedicated property manager?

You get a dedicated client relations manager as your consistent point of contact. Our guest services and operations teams support that relationship behind the scenes.
